1. Who we are and what this covers

Sonas Coaching ("Sonas", "we", "us", "our") provides coaching, leadership development, assessments, team programs and related services, including the Sonas Leadership Certificate (together, "our services"). This policy explains what personal information we collect when you visit mysonascoach.com or our related portals and apps, use or enquire about any of our services, or contact us, how we use it, and the choices you have. It applies to our current services and to any we add later, unless we tell you otherwise.

2. What we collect and why

Information you give us. When you contact us, book a call, register interest, enroll, complete an assessment, or take part in coaching or a program, we collect your name, email address, phone number, company and role, and anything you choose to tell us, such as your goals, your leadership experience, or a resume you attach. For enrollment and payment we also collect billing details. Card payments are processed by Stripe, and we never see or store your full card number.

Information collected automatically. When you visit our website we receive your IP address, browser and device type, pages viewed, and similar technical data, through cookies and the tools our website provider uses. Our forms use Google reCAPTCHA to prevent spam.

How we use it. We use this information to:

• respond to enquiries and arrange calls
• provide coaching, assessments, programs and other services you ask for, including portal access, scheduling, recordings, reports and certificates
• process enrollment and payment, and send receipts and invoices
• send updates about services you use and, where you have chosen to hear from us, occasional news about Sonas
• keep our website, systems and records secure, and meet legal and tax obligations
• improve our website and services

We do not sell your personal information, and we do not use it for advertising.

3. Who we share it with

We share personal information only with service providers who help us run our website and services, with co-presenters and coaches who work with Sonas, and with authorities where the law requires it. We do not sell your information or share it for others' marketing.

Here are the providers, what is does, and what it receives.

GoDaddy - Hosts our website and forms - Form submissions, website visit data

Stripe - Takes card and bank payments, sends invoices - Name, email, billing details, payment details

Google (reCAPTCHA) - Protects our forms from spam - Technical data about your browser

Resend - Delivers program and portal emails - Name, email address

Supabase and Vercel - Host our client and participant portals and databases - Registration, progress, assessment and coaching records

Zoom - Runs live sessions and recordings - Name, email, session recordings

Microsoft (Outlook email, via GoDaddy) - Our business email - Email correspondence

Sonas associates - Coach, copresent or deliver services with us - Only what is needed per section 4

Some of these providers are based outside California or the United States, so your information may be processed in other places. Our providers act on our instructions and have their own privacy policies.

4. Coaching, assessments and program data

Coaching, assessments and group programs involve more personal information than a website visit, so we are specific about who sees what. The details below apply to whichever services you use.

• Coaching. What you discuss with your coach is confidential. Your coach may keep brief notes for coaching purposes. We do not share coaching content with your employer, any other sponsor, or other clients or participants, unless you ask us to or the law requires it.
• Assessments and reports. Assessment results, such as an EQ assessment, 360 feedback or a team-health report, are shared with you and, where applicable, with your assigned coach or practitioner. Where others give feedback about you, they do so anonymously, and individual responses are not shown to you or to your coach, only combined results. We store the names and email addresses of people you nominate as raters so we can invite them, and we email them only about the assessment.
• Team and organizational work. If a company or team commissions a service, we share results with the sponsor only in the form agreed in writing with the participants, usually combined results that do not identify individuals.
• Programs. For group programs such as the Sonas Leadership Certificate, we also keep registration details, quiz results, session attendance and submissions. Co-presenters and coaches can see participants' quiz progress. Live sessions may be recorded and made available only to participants of that group; we tell you in advance, and informal sessions are not recorded.
• Employers and sponsors. If your employer pays, we share only what is needed for the invoice, such as your name and the service dates, unless you ask us to share more.
• Access records. Our systems log who views assessment results and when, so we can protect your information.
• Associates and partners. Coaches and co-presenters who work with Sonas only see information for the participants or clients they work with, and are bound to keep it confidential.

5. Security, retention and your choices

Security. Our websites and portal use encrypted connections (HTTPS), access to client and participant records is limited to people who need it, and associates sign in with a password and an authenticator code. Payment card details are handled by Stripe and are not stored on our systems. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

Retention. We keep personal information only as long as we need it, then delete or anonymize it.

You can ask us to delete your information sooner, as described below, except where we must keep it for legal or tax reasons.

Your choices.

• You can ask to see the personal information we hold about you, correct it, or ask us to delete it, by emailing admin@mysonascoach.com. We will respond within 30 days, and we may need to keep some records for legal or tax reasons.
• You can unsubscribe from marketing emails at any time using the link in the email. We will still send essential messages about programs you are enrolled in.
• You can set your browser to refuse cookies, though parts of the site may not work as well.

California residents. California law gives residents certain rights about their personal information, including to know what we collect, to request deletion or correction, and not to be discriminated against for exercising these rights. We do not sell or share personal information for advertising. Contact us at admin@mysonascoach.com to make a request. Our website does not respond to browser "Do Not Track" signals.

Children. Our services are for adults. We do not knowingly collect information from anyone under 18.

6. Changes and contact

We may update this policy from time to time. We will post the new version here with a new "Last updated" date, and where a change is significant we will tell enrolled participants by email.
